1- The Assessment Phase
ATTENTION: The awarding of a scholarship IS NOT GUARANTEED at this stage.

The assessment step is to DETERMINE whether the student is eligible to receive the scholarship. We will send you a second email to confirm that the student has been approved to receive the scholarship, if applicable.

When we receive an eligible student application enrolled in your post-secondary institution, we will first send you an email asking you to fill out the new post-secondary institution form to confirm and supply the student's information.

The form covers the following information:

  • Student ID
  • Study program
  • Campus city
  • Start date of the program
  • End date of the program (that year)
  • Anticipated graduation date
  • Itemized costs and fees
  • Your institution's method of payment to receive the student's scholarship.

Please fill in one form for each of the students listed in the email you received from The NBCC Foundation. Use the link in the email.

*As part of the application, the student did consent to the sharing of his or her information between the NBCC Foundation and the post-secondary institution.

We ask you to respond promptly to avoid delays.

If that student DOES get conditional approval, you will receive The Disbursement Phase email, confirming this and containing any necessary further details and instructions.

Tuition and mandatory fees itemization instruction
-Invoice-

If you are choosing to provide an invoice right away instead of filling question 21, here are the requirements of said invoice.

  • We will need 1 invoice per term. (Example 1 for fall 2025 and 1 for winter 2026. That covers the scholastic year 2025-2026)
  • We need said invoice to contain the breakdown of the amounts to be covered. Please use the linked guide for what is and isn't covered under tuition and mandatory fees for this scholarship. LINKED GUIDE HERE.
  • You can address the invoice to the NBCC Foundation.
  • You can, if it's easier for you, have all your applying students included on the same invoice as long as we see the breakdown of items.
  • Email the invoice to claudette.gallant@ccnb.ca or valerie.roy@ccnb.ca

2-The Disbursement Phase
Your student(s) are NOW conditionally approved to receive the scholarship. The condition is that they must attend classes once the program has started.

When you receive the disbursement phase email, you may now mark your student as a recipient of the scholarship.

-REMINDER-
Please make it so the student will not receive deadline reminders about the regular tuition deadline needing to be met.

The NBCC Foundation will be the one communicating with your institution and paying the agreed upon amount of the scholarship.

-Timeline-
Providing that the student is still in school, the payment will be sent to your institution to be applied directly towards the student's tuition and mandatory fees within 10 business days AFTER the 'last day of withdrawal with reimbursement' for the first and then the second semester.

*If this student’s tuition and mandatory fees have already been:

a) Marked to be withheld from the student aid or even if you already received the student aid portion. Exceptionally this term (2025-2026), GNB’s Student Financial Services have asked that you use the 0320-NB Youth in Care Scholarship to pay the tuition and mandatory fees and issue a reimbursement to the student (per your institutions’ reimbursement policy) of the amount withheld from the student aid portion.

b) Paid in any other way than student aid. Please use the 0320-NB Youth in Care Scholarship to cover the tuition and mandatory fees. Then, following your institution's reimbursement policy, please issue a reimbursement to the student for the surplus amount left from the added scholarship money.

The Foundation will confirm with you, via email, that the students have started and/or are still ‘in class’ and have not withdrawn.

With the confirmation, and following the disbursement timeline, The Foundation will send your institution the scholarship for the first term, per your first invoice (in fall). The scholarship disbursement for the second invoice will be sent following the same principle for the standard winter term.

Please apply the payment to the student’s tuition and mandatory fees as agreed. If the student has already paid the tuition and mandatory fees, please refer to the rectangle information in #1.

*If, for any reason, the student withdraws from your institution, and tuition and/or mandatory fee REIMBURSEMENT must be done, the money shall be sent back following these guidelines.

a) If the student received student aid, the 0320-NB Youth in Care Scholarship amount shall be retuned to GNB’s Student Financial Services per the usual process and NOT be given to the student.

b) For all others, the 0320-NB Youth in Care Scholarship shall be returned to the NBCC Foundation and NOT be given to the student. You can contact us on the methods available to return the payment.

Don't forget!
Your institution is responsible for providing the student with a T4A. Please keep track of reimbursement due to withdrawal, as it could mean an amended T4A would be required.

*If the T4A policy of your institution doesn’t allow you to produce the T4A, please advise us at the NBCC Foundation as soon as possible during the assessment or disbursement phase. Special measures will be arranged.
